A Ticket and Show Secretary, for any event, is usually the first person that participants will come into contact with. This contact, however, is not where the work begins.

Becoming an exceptional Ticket and Show Clerk doesn’t happen overnight; however, through experience and support positions, the path to excellence can be achieved. Occasionally it is not possible to climb the ladder to success, as sometimes the highest position is reached through an immediate need of the organization or the people organizing the event. In either case, it is important to acquire as much information as possible about the proposed event, stakeholders, and participants.

A competent secretary will begin collecting data months in advance to ensure that you are in a position to meet the expected job description outline for the specific circumstance.

Show secretaries can follow a few simple rules to gain recognition of their skills from stakeholders and event organizers. By doing so, it should provide an ongoing future relationship between the two of you.

  1. Find out about the producers or interested parties.
    • Who are they?
    • Using word of mouth when it comes to a smaller event will be beneficial.
    • What do you want to achieve with the event?
  2. Learn as much as you can about the event.
    • What type of event is it?
    • Determine who will attend. For example, will there be competitors, speakers, businesses, and the private sector?
    • Locate available historical information about the same previous event on the Internet or through multimedia files.
    • Ask the producer for any historical data such as schedules, results, or other information.
  3. What is the purpose of these wizards?
    • Will the event have multiple levels of competition culminating in a specific result?
    • Is it a gathering of like-minded people who will share their passion in life with each other?
    • Are those who enter do so for some sort of recognition, like at a fall fair or dance competition?
  4. At all times, be professional in your inquiries.
  5. At all times, be organized and on time for meetings.
  6. Is there a job description for the position?
  7. Is there a communication plan outlining the chain of command?
  8. Are there specific time lines that must be met to complete specific tasks?
  9. If no communication outline or timeline is available, show initiative and create one for reference. Make changes as necessary.

Anyone who attends an event will benefit when a secretary is hired who continues to meet and exceed excellence.
